Medieval College Society Constitution


1.	Name



	1.1  This organization is named the Medieval College Society (MCS).



2.	Purpose



	2.1  The MCS exists to support and promote creativity and enjoyment amongst 

	its members through role-playing and/or strategic challenges cast in realistic or

	fictional settings.



3.	Membership



	3.1  MCS’ membership is open to all students enrolled at Bradley University.  

	Voting privileges are possessed by full members who have paid the dues 

	established in the bylaws.  Members who have not paid dues do not have voting 

	privileges.



	3.2  Honorary membership for alumni or non-students will be allowed with a   

	simple majority vote of attending members.  Honorary members are exempt from 

	dues, do not have voting privileges, and they may not run or hold an office.  

	Honorary members must pay half-dues to participate in social activities.



	3.3  The Medieval College Society does not discriminate against any member on 

	the basis of race, sex, ethnicity, color, creed, etc.



4.	Officers



	4.1  The MCS has four main offices:  President, Vice President, Secretary, and 

	Treasurer.



	4.2  The duties of the President are as follows:



		4.2.1  to act as the official representative and spokesperson for the MCS.

		4.2.2  to verbally contact and update the advisor regarding the MCS’ 

		status.

		4.2.3  to ensure MCS activities are in accordance with all of Bradley 

		University’s Rules and Regulations.

		4.2.4  to maintain positive relations with SAO, SABRC, and any other 

		University organization.

		4.2.5  to create temporary committees as necessary.

		4.2.6  to appoint chairpersons for temporary committees.

		4.2.7  to deliver a current copy of the constitution and bylaws to the 

		advisor per semester.

		4.2.8  to authorize the use of organizational funds

		4.2.9  to act as official advisor for the Con committee.



	4.3  The duties of the Vice President are as follows:



		4.3.1  to act as coordinator for MCS activities and events.

		4.3.2  to act as mediator for intra-organizational disputes or conflicts.

		4.3.3  to serve as President when the President cannot fulfill the duties 

		required.

		4.3.4  to aid the President as needed.

		4.3.5  to oversee committee progress and functionality.

		4.3.6  to act as liaison for a committee if the committee chair is not present 

		or unable to attend a meeting.

		4.3.7  to coauthorize  expenditures.



	4.4  The duties of the Secretary are as follows:



		4.4.1  to keep clear and accurate minutes of all MCS meetings.

		4.4.2  to post minutes via e-mail to all members.

		4.4.3  to keep membership records.

		4.4.4  to ensure thorough and adequate publicity for MCS functions.

		4.4.5  to keep the bylaws and amendments in order and up to date.

		4.4.6  to keep the Activities Calendar current.

		4.4.7  to remind the MCS of upcoming social events or other important 

		activities.



	4.5  The duties of the Treasurer are as follows:



		4.5.1  to maintain accurate and up to date financial records.

		4.5.2  to disseminate funds according to proper procedure when needed.

		4.5.3  to prepare and submit an SABRC budget request on time and in 

		whole.

		4.5.4  to report the MCS’ financial status weekly at meetings.

		4.5.5  to collect dues in the amount of $5.00 each semester from each 

		member.

		4.5.6  to reconcile all monthly bank statements

		4.5.7  to cosign all checks.

		4.5.8  to act as official advisor for the Funding committee, when and if it 

		exists.



	4.6  All officers will sit office hours.



		4.6.1  The President is required to be in the office four hours per week.

		4.6.2  All other officers are required to be in the office for three hours per 

		week each.



5.	Elections



	5.1	Requirements for Holding Office



		5.1.1  All officers and nominees must meet the minimum required 

		standards as set by SAO or any other appropriate University governing 

		body.

		5.1.2  All officers and nominees must have a 2.00 (on a 4.00 scale) or 

		higher cumulative GPA and not be on academic probation.

		5.1.3  No officer or nominee may be on disciplinary probation.

		5.1.4  All officers and nominees must be full members of the MCS for at 

		least one semester immediately prior to election to office.

		5.1.5  All officers and nominees must be full members at all times; failure 

		to pay dues will result in removal from office.

		5.1.6  All officers and nominees be full time students (carrying 12 credit 

		hours or more) and must have earned at least 24 hours during the last two 

		semesters enrolled or will have 24 hours by Spring Commencement.



	5.2	Election Procedures



		5.2.1  Elections are held on a yearly basis after Spring Break and before 

		Spring Commencement.

		5.2.2  All nominations for any officer must be submitted no later than one 

		week before the scheduled election.

		5.2.3  Only voting members of the MCS may nominate and be nominated.  

		5.2.4  Members may nominate themselves and any member may decline a 

		nomination.

		5.2.5  Write-in votes need to be turned in to a member of the Executive 

		Board during the week before the actual elections.  Any received after the 

		official voting has taken place will not be valid.  Write-in votes must 

		include the vote itself as well as the signature of the member.

		5.2.7  Every election must be scheduled at least two weeks in advance of 

		the election date.

		5.2.8  Results of the election will be announced as soon as they have been 

		tallied.

		5.2.9  Election winners are determined by a simple majority of voting 

		members.

		5.2.10  Newly elected officers will take up office following the Spring 

		Commencement.



6.	Removal from Office



	6.1  If the present election procedures of the MCS are not followed according to 

	the constitution, the advisor and/or membership can call for another election, in 

	which case another election is immediately scheduled as per standard MCS rules.  

	Previously elected officers remain in office until the time of the election.  A simple 

	majority vote of the membership will allow an election to be called back in this 

	manner.



	6.2  If an officer at any time fails to meet the requirements for office or fails to 

	perform the duties of his/her office, the advisor and/or membership may move to 

	have that officer removed from office.  The remaining officers must immediately 

	schedule an election for the vacant position.



	6.3  In order to impeach an officer two thirds of the membership must agree 

	together in a vote.



7.	Succession of Officers for Absence



	7.1  If the President is absent from a meeting, the Vice President will preside over 

	the meeting.



8.	Attendance for Full Members



	8.1  Committee chairs must give their report to the Vice President before the 

	weekly meeting if they cannot attend.



9.	Amendments



	9.1  Proposed amendments must be accepted by a simple majority of voting 

	members.



10.	Committees



	10.1  Permanent committees will have appointed chairpersons.



	10.2  Chairpersons do not have to meet any special requirements or meet with the 

	advisor.  Chairpersons do have to be a full member of the MCS.



11.	Sub-Offices



	11.1  The MCS will have the following sub-office: Librarian.



	11.2  The Librarian holds the responsibility to keep the MCS library in order and 

	accounted for.



		11.2.1  The Librarian will be appointed by the Executive Board and will 

		serve a semester-long term unless removed from the position by a simple 

		majority of the Executive Board and membership.

		11.2.2  The Librarian can be reappointed for consecutive semesters.

		11.2.3  The Librarian heads the Library committee.



	11.3  A Summer representative is required, the duties of which are to promote 

	MCS activities for the coming year.
